Looking for an experienced Facilities Manager who will support several warehouse/manufacturing locations. You will manage a team of vendors and services, support projects, oversee all ongoing preventative maintenance tasks and work with multiple internal teams. Flexible hours may be required, with core work largely during regular business hours.

Beyond the tactical facilities components of this job, you take pride in making the client space both beautiful and functional, and know how important even the tiniest details are to making a space great.

You will:

Collaboration/Vendor Management

Partner with local site stakeholders to ensure all facilities related projects/work efforts are completed

Oversee service level agreements with vendors and suppliers to support operations to facilitate repairs, maintenance and construction

Ensure vendors are well-managed, delivering services on time and within budget

Ensure that vendor procurement processes comply with agreed client procurement guidelines as well as JLL best practice

Support Sourcing team in planning and managing scopes of work for all contracts to ensure that they are professionally delivered at the right costs

Ensure expiry of contracts are well-monitored and re-procurement is initiated when required

Assess proposals to ensure delivery of the best value to the client

Develop ongoing relationships with building management, building engineers and vendors, ranging from general contractors to building system vendors to pest control

Verify that landlords of leased spaces provide the appropriate level of services in compliance with lease agreements

Build and maintain strong collaborative relationships across cross-functional teams, including operations, engineering, procurement, finance, and client service teams

Facilitate effective communication and coordination among internal teams, vendors, and external partners to ensure seamless service delivery

Client Management

Partner with the client/stakeholder(s)

Proactively engage stakeholders to ensure on site clients' expectations are met

Build and develop effective client / stakeholder relationships across multiple levels of the organization

Key point of contact for facilities within the client's portfolio

Deliver exceptional customer service by anticipating client needs, addressing concerns promptly, and maintaining consistent communication

Act as a trusted advisor to clients on facility matters, providing strategic recommendations and insights

Conduct regular client meetings and business reviews to ensure alignment on goals, expectations, and service performance

Finance

Help develop the annual budget in your region. This includes development of annual maintenance plans, facility improvements projects and cost reduction projects

Actively work to ensure that the site's financial operations are meeting or exceeding targets and control requirements including JLL Code of Ethics

Process payments to vendors

Manage vendor contract terms in conjunction with Procurement and Global Facilities

Create purchase requisitions and purchase orders

Ensure financial processes are followed at all times

Analyze financial data and operational metrics to identify cost-saving opportunities and operational efficiencies

Provide regular financial reporting and variance analysis to senior leadership and clients

CMMS/Tickets

Implement and manage ticketing system for offices within region

Respond to facility related tickets for all offices within region, to include answering, monitoring, and closing tickets

Implement ongoing programs to address and resolve office spaces needs

Leverage AI-powered CMMS systems to optimize work order prioritization, identify maintenance trends, and improve response times

Utilize data analytics to track ticket resolution times, identify recurring issues, and implement preventive measures

Facilities

Be the subject matter expert for all Facilities and building operations in your region

Ensure operations are running in an efficient and effective manner

Identify opportunities to leverage Global suppliers and vendors to ensure cost efficiencies

Lead continuous improvement initiatives by leveraging emerging technologies, including AI applications for predictive maintenance, energy optimization, and space utilization

Drive innovation by exploring and implementing smart building technologies, automation solutions, and digital tools to enhance operational efficiency

Facilities Inspections

  • May require interstate and local travel to conduct facility inspections at client sites
  • Able to use tablets technology to perform audits via the JLL App and includes taking photos and inputting written descriptions of the assets
  • Ability to provide a sensible view of the condition of assets in line with JLLs standards and the age of the asset
  • Manage personal expenses and travel
  • Able to work autonomously and efficiently without supervision
  • Must have current drivers license

Team Leadership and Development

Lead, mentor, and develop facility coordinators, technicians, and support staff, providing coaching, performance feedback, and career development opportunities

Foster a culture of accountability, collaboration, and continuous learning within the facilities team

Conduct regular team meetings to align on priorities, communicate updates, and address operational challenges

Support recruitment, onboarding, and training of new team members in coordination with HR and regional leadership

Model cross-functional teamwork and encourage team members to embrace innovative technologies and collaborative problem-solving

General

Involvement to ensure the efficient daily operations of each location, including cleaning, health and safety and general maintenance of mechanical and electrical systems

Inspect the facility and report back any findings or issues to the team

Recommend continuous quality improvement practices and implement Industry Best Practice operations

Implement building procedures and performance measures and ensure they are maintained at all times

Ensure all Critical Environment Management (CEM) requirements are met

Review existing operations regularly to reduce costs and improve operational standards

Be available to respond to facility emergencies and critical issues during off-hours, weekends, and holidays as needed to ensure business continuity

Remain current on industry trends, best practices and project management processes and make recommendations on new systems and technology to improve operational efficiency

Maintain a detailed database of Client operations, equipment and work order processes

Develop and implement innovation programs and processes that increase customer service delivery, increase productivity, produce cost savings and share learnings with the wider team.

Perform other duties as assigned by senior management to support strategic initiatives, client deliverables, and organizational objectives

Skills & Qualifications

Required Experience and Education

4+ years assisting with facilities operations in multiple locations in commercial real estate.

Excellent project management skills. Recognized Project Management qualification

Management experience preferred, to include experience leading coordinators and developing their careers

Preferred experience with Computer Maintenance Management Software (CMMS)/Work Order Management programs

Experience with vendor management

Understand construction specifications and blueprints

Experience with Building Management Systems maintenance and monitoring
