A Financial Services Sales Assistant II provides administrative and operational support for one or more Financial Advisor(s) and serves as a liaison between Financial Advisor(s) and their clients. A sales assistant has a large influence on client satisfaction.
Responsibilities include:
- Providing administrative support in a variety of ways, including by answering incoming calls, organizing filing systems, coordinating schedules, and preparing correspondence and documents
- Sending various forms to clients as requested and required.
- Assisting Financial Advisors with client support and time management
- Processing confidential information
- Opening, maintaining, and servicing client accounts
- Following up on missing paperwork
- Processing new accounts and files
- Performing daily business processing to include department mail and processing checks and securities.
- Maintaining the client and mailing database
- Updating Financial Advisors' calendars
- Serving clients by researching and resolving problems
- Providing quote information and mutual fund trade entry
- Equity trades can be entered by Series 7 licensed employees
- Accepting unsolicited mutual fund and money market investment direction from clients
- Coordinating and assisting Financial Advisor(s) with client events by marketing, mailing, following up, and assisting on the day of the event
- Working with the operations department for account maintenance and to initiate and update client instructions
- Completing department projects
- Maintaining the client scanning system so records are accurate and complete
- Balancing settlement account and reviewing trade blotters.
- Reviewing and notifying Financial Advisor(s) of new referrals
- Demonstrating compliance with all bank regulations for assigned job function and applying to designated job responsibilities knowledge may be gained through coursework and on-the-job training. Keeps up to date on regulation changes.
- Following all Bank policies and procedures, compliance regulations, and completing all required annual or job-specific training.
- Maintaining a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E, Bank Security and other regulations as applicable to this job description.
- May be asked to coach, mentor, or train others and teach coursework as subject matter expert.

Qualifications:
- 3 years of experience as an assistant in the financial services industry or a related field (Required)
- Subject matter expert in investment concepts and terminology, including investment vehicles, transaction types, and securities clearing systems
- Highly proficient with Microsoft Office Suite
- Self-starter with initiative
- Able to work independently or with limited supervision while working closely with clients and Financial Advisors.
- Able to prioritize and effectively manage multiple tasks at once
- Strong data entry, reading, and comprehension skills
- Ability to process confidential work
Pay Range: $23.00 to $35.00.
The pay rate for the selected candidate is dependent upon a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, education, and geographic location. The role may be eligible for performance-based incentive compensation, and those details will be provided during the recruitment process.
Primary Location: Ability to work fully onsite at posted location(s).
